The Role

JOB SUMMARY:

Provides support for attorneys in the areas of policies & procedures, recruitment, time and attendance tracking, onboarding processes, leaves of absence, and records and database management.

ESSENTIAL FUNCTIONS:

  • Participates in attorney on-boarding, includes, preparing new hire orientation documents, collecting new hire information, facilitating orientation, and preparing personnel files.
  • Monitors the Attorney Development London emails and escalates queries where necessary.
  • Creates and issues contracts of employment for qualifying trainees.
  • Assists with the coordination and organization of internal transfers from overseas offices and secondments for attorneys.
  • Completes employment verification letters.
  • Tracks attorney probation periods and escalates issues.
  • Organises documents and facts for each stage of immigration applications.
  • Provides support for the Associate Mentor Programme.
  • Provides support for the Attorney Performance Management process, including updating ViDesktop and compiling data in preparation for review cycles.
  • Assists with administration of Attorney Family Leave (maternity, paternity).
  • Coordinates Qualification Leave process.
  • Coordinates the exit process for departing attorneys.
  • Handles reporting of attorney holiday and ad-hoc holiday requests.
  • Point of contact for general queries, including benefits.
  • Organises Well-Being events for the London office alongside the HR Department.
  • Updates the Firm's databases (Workday/ViDesktop etc.).
  • Updates and maintains electronic personnel files.
  • Demonstrates effective interpersonal, written and verbal communication skills to facilitate effective work relationships with others.
  • Manages Firm resources responsibly.
  • Complies with and understands Firm operation, policies and procedures.
  • Performs other related duties and projects as assigned.
Person Specification

ESSENTIAL KNOWLEDGE, SKILLS, ABILITIES AND OTHER JOB-RELATED COMPETENCIES:

  • Knowledge of relevant firm computer software programs (e.g., Outlook, Excel, PowerPoint), with the ability to learn new software and operating systems
  • Knowledge of Human Resources field and procedures
  • Demonstrates effective interpersonal and communication skills, both verbally and in writing
  • Demonstrates close attention to detail while being exact and thorough when completing task
  • Ability to handle confidential and sensitive matters
  • Ability to consistently communicate and deal courteously/effectively with others
  • Ability to handle multiple projects and shifting priorities
  • Ability to handle sensitive matters and maintain confidentiality
  • Ability to work well in a demanding and fast-paced environment
  • Ability to work well independently as well as effectively within a team
  • Flexibility to adjust hours and work the hours necessary to meet operating and business needs

EDUCATION AND EXPERIENCE:

  • Educated to A' level or above
  • CIPD qualified (or in progress)
  • Minimum of three years related Human Resources experience in a professional services environment and experience in Payroll processing
