The Role

JOB SUMMARY: 

The primary focus of the role is to manage Firm client events, in accordance with our best practices, involving the co-ordination of a wide-range of events, both in London and overseas within Europe, as well as client entertainment events, and to expand personal knowledge of the planning and management of events.

 

ESSENTIAL FUNCTIONS:

  • Devising, researching and project managing client events from conception to completion. Events will consist of client receptions, seminars, conferences, dinner, webinars and corporate hospitality and tasks will include, but are not limited to, liaising with lawyers, budgetary responsibility for the event, assisting with venue choice, co-ordination of invitation design and mailing, catering, staffing of event on the day, and follow up post-event.
  • Management of client entertainment events and bookings for ticketed corporate hospitality, in addition to supporting the preparation and management of larger scale events as required.
  • Establishing initial event brief with stakeholders, researching and conducting venue searches and feasibility studies, being proactive in suggesting new ideas.
  • Pre-event budgeting, including negotiation with suppliers on venue / service costs and reconciliation of final costs and event evaluations.
  • Devising innovative event concepts and drafting text for event invitations and other related collateral.
  • Managing the client lists for each event on InterAction, the firm’s CRM tool, and updating other internal marketing databases with details of events and attendee information.
  • On-site attendance at events - which are usually held out of normal office hours and occasionally overseas (average one trip every two to three months).
Person Specification

ESSENTIAL KNOWLEDGE, SKILLS, ABILITIES AND OTHER JOB-RELATED COMPETENCIES:

  • Proven experience as an events organiser, with experience of corporate events, and experience of corporate hospitality booking desirable.   
  • Good IT literacy – Word, Excel, Powerpoint and Outlook with the ability to learn new software and operating systems.
  • Good working knowledge of London venues desirable.
  • Demonstrates impeccable attention to detail and organisational skills and effective interpersonal and communication skills, both verbally and in writing.
  • Ability to handle multiple projects and shifting priorities with a positive approach and ability to remain calm under pressure.
  • Flexibility to work outside of business hours and willingness to work necessary hours to meet business needs and for travel.
  • Ability to handle sensitive matters and maintain confidentiality whilst working in a demanding and fast-paced environment.
  • Ability to work well independently under limited supervision, as well as effectively within a team.
  • Ability to be creative.

EDUCATION AND EXPERIENCE

  • Degree-educated or equivalent
  • Minimum of two years' experience in a professional services environment
