The Role

JOB SUMMARY:

Provides billing support to partners with complex billing requirements. Supervision of London bank receipts to ensure daily posting/reporting complies with the SRA Accounts Rules. Performs ad-hoc tasks and projects on request. Provides cover for absent staff within the London Client Accounting team and other European billing teams.

ESSENTIAL FUNCTIONS - BILLING:

  • Prepares all bills (including eBills), draft bills, credit notes, write offs and completes other internal forms as part of the billing process. Liaison with assigned partners and their secretaries concerning time recording, work-in-progress, billing and collection matters.
  • Ensures matters and client rates are set up in accordance with the client engagement.
  • Prepares estimates, WIP updates and monitors budgets for selected clients on a weekly/monthly basis.
  • Actively manages the work-in-progress of assigned partners, to ensure recorded time is billed at regular intervals.
  • Ensures that StarCollect comments are entered on the system regularly for WIP and AR entries.

ESSENTIAL FUNCTIONS – FINANCE:

  • Performs periodic check of London bank receipts across several bank accounts, reporting bill receipts to New York Office daily and liaising with the AP Supervisor on any issues that arise. Prepares internal receipt notification for submission to billing partners and interested parties.
  • Runs daily receipts report on Aderant and monitors any unapplied balances. Liaison with the Accounts Payable Team to ensure non-bill credits are managed effectively, to ensure adherence with SRA Accounts Rules. Monitors cash transfers to London client account to ensure non-bill ledger credits are removed in 48 hours. Reports non-compliance to the London Finance Manager promptly.
  • Provides basic billing training to new London starters as required.

Person Specification

KNOWLEDGE SKILLS AND ABILITIES:

  • Experience of EXPERT Aderant billing and trust function.
  • Working knowledge of the SRA Accounts Rules and office/client/office account movements.
  • Good knowledge of UK and international VAT rules.
  • Knowledge of basic accounting concepts and multi-currency accounting.
  • Knowledge of relevant firm computer software programs (e.g., Outlook, Excel, PowerPoint), with the ability to learn new software and operating systems
  • Demonstrates effective interpersonal and communication skills, both verbally and in writing
  • Demonstrates close attention to detail
  • Ability to handle multiple projects and shifting priorities
  • Ability to handle sensitive matters and maintain confidentiality
  • Ability to organize and prioritize work

EDUCATION AND EXPERIENCE:

  • Minimum A-Level standard education, graduate preferred or equivalent finance related qualification.
  • Minimum of three years related experience, ideally in a law firm billing environment.
